Roles on the phone
The phone follows the same rules as the web app. Your role in the web app is your role on the phone: the app shows what the server says your role may use, hides the rest, and the server checks every call again. Nothing you do on the phone can go further than your role allows on the web.
What decides what you see
Section titled “What decides what you see”- The app’s parts. Which tabs and Library segments you see, whether you may share a link, export or create alert rules, and whether Ask AI shows, come from your role’s permissions for dashboards, metrics, reports, stories, alerts and AI.
- Workspace tools. Each page shows when your role may view its menu in the web app, as set in Menu permissions. Each action on a page (Delete, Restore, Run now and so on) needs your role’s permission to create, change or delete there. A company admin sees every page and every action.
- Pages for company admins only. Menu permissions, Workspace settings and Compute are for company admins, whatever a role holds.
- Your licence and your company’s settings. Warehouse shows when your licence includes the Warehouse, and Pipelines answers with the server’s licence message when it does not. Presentations shows when your company has presentations turned on. Ask AI shows when AI is turned on for your role.
- Your organization’s policies. An organization can turn off offline copies, sharing or exports for the app, and require the app lock or two-factor authentication.
Roles are set per company, so your company’s roles can see more or less than the examples below. To see what a role may do, open Workspace tools › Roles (company admins), or ask your administrator.
Example: the demo company
Section titled “Example: the demo company”The DataSquares demo company has three accounts. This is what each got on the phone when checked against the app and its server:

| Library | Dashboards, Stories, Reports, Metrics, Offline | Same | Same |
| Share a dashboard | Share as image, Share a link, Export | Same | Share as image and Export; no link |

The demo company has presentations and AI turned off, so none of its accounts sees Presentations or Ask AI.

When your role does not allow something
Section titled “When your role does not allow something”| What you see | Why |
|---|---|
| A tab, a Library segment or a page is missing | Your role may not use it, your licence does not include it, or your company has it turned off |
| An action is missing on an item | Your role may view the page but not take that action |
| “Your role doesn’t allow this.” | Your role changed since you opened the page, or the server refused the call; nothing was read or changed |
| “Built-in roles can’t be changed. Choose a custom role to edit its permissions.” | In Menu permissions, built-in roles are read-only |
| “Turned off by your organization.” | A setting your organization manages |
If you need more, ask your administrator to change your role in the web app (Users, roles & invites). If the change does not show on the phone, sign out and sign in again.
