Administration on the phone

The Administration pages of Workspace tools are the web’s administration pages, on the phone. Each shows when your role may open it in the web app; Menu permissions and Workspace settings are for company admins only. The billing pages have their own guide: Billing & subscription.

Users lists everyone in the company with their email, company role, workspace role and whether they are Active. Open a person for their details. When they apply, you see:

  • Resend invitation, for someone who has never signed in (“Send the invitation email again?”).
  • Deactivate (“Deactivate this user? They are signed out and can no longer sign in.”), for roles that may delete users.

Invites lists invitations with the company role, who sent them and when they expire. On a pending invitation, Resend invitation sends the email again and Cancel invitation stops its link working; both ask first.

Roles that may create invitations see Invite (the plus button) at the top of Users and Invites:

  1. Enter the Email address.
  2. Choose the Company role: Member or Admin.
  3. Optionally choose a Workspace role.
  4. Select Send invitation. It is enabled once the email looks right.

They get an email with a link to join the workspace, and the list shows the new invitation (Invitation sent.). The invitation’s link is never shown on the phone. See Invitations.

Groups lists the workspace’s groups with their member count. Open a group for its Members.

Roles lists the built-in (System) and Custom roles. Open one for what it allows. To change what a role may do on each menu, use Menu permissions.

Menu permissions (company admins) shows, for the Role you choose, what it may do on each menu: View, Create, Edit and Delete.

  1. Choose a custom role under Role. Built-in roles are read-only: “Built-in roles can’t be changed. Choose a custom role to edit its permissions.”
  2. Turn the permissions on or off.
  3. Select Save. Saving replaces this role’s permissions for everyone who has it, at once.

A role needs at least one permission (“Give this role at least one permission before saving.”). Choosing another role with unsaved changes asks to discard them. The menu tree itself (names, order, new entries) is edited on the web (Menu builder).

Workspaces lists the company’s workspaces. Open one for its Members.

API keys lists the keys with the start of each key, whether it is Active and when it was last used. On a key, Deactivate turns it off (“Calls made with it are refused.”) and Reactivate turns it on again. A key is created on the web (API keys); its secret is never shown on the phone.

Audit log lists who did what, and when: the action, the kind of item and the network address. Filters, the before-and-after of a change and exports are in the web app (Audit log).

Usage shows this month’s Query hours, Refresh hours, Execution hours, Storage (GB) and Runs in progress (Usage & capacity).

Workspace settings (company admins) shows the Workspace name, Time zone, Date format and the user and workspace limits. Edit changes the name, the default time zone and the date format; Save applies them. Themes, brand kit, sign-in, integrations, AI and embedding are set on the web (General settings).

Deployment license shows the licence this deployment runs on: its Edition, when it Expires and the Licensed cores (Licensing).
